📝 Position Summary

The Payroll Administrator is responsible for supporting all aspects of high-volume, full-cycle payroll, including processing, auditing, compliance, reporting, and employee support.

This role partners closely with Human Resources and Finance to ensure payroll accuracy, maintain audit-ready documentation, and support payroll systems and processes in a complex, grant-funded nonprofit environment.

 

🔍 Key Responsibilities

Payroll Processing & Compliance

  • Process semi-monthly payroll accurately and on time
  • Ensure compliance with federal, state, and local wage and labor laws
  • Process payroll transactions including pay changes, bonuses, reimbursements, and garnishments
  • Ensure timely payment of payroll taxes and withholdings

Auditing & Reporting

  • Audit and reconcile payroll data and balance sheet accounts
  • Support W-2 preparation and reconciliation to the general ledger
  • Generate payroll reports and perform data analysis
  • Maintain audit-ready payroll documentation

Employee Support & Communication

  • Serve as a resource for employees and managers on payroll-related questions
  • Resolve complex payroll issues with a strong customer service approach
  • Respond to requests from regulatory and external agencies

Systems & Process Management

  • Maintain payroll system configurations, codes, and cost centers
  • Support timekeeping system accuracy and compliance
  • Maintain payroll-related content on internal platforms (e.g., SharePoint)
  • Develop and document payroll policies, procedures, and internal controls

 

✅ Qualifications

  • Bachelor’s degree in Accounting or related field
  • Minimum 5+ years of high-volume payroll experience (nonprofit or complex funding environment preferred)
  • Certified Payroll Professional (CPP) preferred
  • Strong knowledge of payroll practices, wage and labor laws, and compliance requirements

Technical Skills

  • Experience with payroll systems (UKG Ready/Kronos preferred)
  • Advanced Excel skills (pivot tables, VLOOKUPs, data analysis)
  • Proficiency in Microsoft Office Suite
