📝️ Position Summary

The IT Administrative Assistant will provide comprehensive administrative support to the IT department handling tasks such as managing schedules, processing documents, maintaining records, ordering inventory, and supporting IT team members. This role requires strong organizational and communication skills, attention to detail, multitasking abilities, and a solid understanding of both administrative and technical processes. The ideal candidate will also possess excellent customer service skills and experience with various computer software applications. This role plays a critical part in ensuring the efficiency and smooth operation of the IT department.

 

🔍Key Responsibilities

  • Coordinate logistics for meetings, including preparing agendas, scheduling, taking minutes, and distributing meeting summaries.
  • Assist in preparing, proofreading, and distributing reports, presentations and memos.
  • Update and manage internal documentation such as IT policies, procedures and reports while ensuring a structured and accessible filing system.
  • Provide general administrative support, including answering and directing phone calls, responding to emails, and preparing correspondence.
  • Handle the administrative aspects of IT procurement of equipment and supplies, including ordering, tracking, inventorying, and maintaining equipment.
  • Submit and reconcile expense reports, process invoices and track department expenses.
  • Manage contact lists and maintain updated records of vendors, suppliers, and stakeholders.
  • Serve as a main point of contact between IT staff, departments, clients, vendors, and stakeholders, ensuring smooth communication and efficient management of inquiries and requests.
  • Coordinate with executive and senior administrative assistants to handle requests from agency leadership and other divisions.
  • Assist with planning, implementation, and monitoring of IT projects and project deadlines.
  • Support budget management by tracking expenses, generating reports, and providing data for budgeting and planning.
  • Help with the preparation and processing of invoices and ensure timely payments.
  • Maintain an up-to-date understanding of current IT systems, tools, and software applications to effectively support the IT teams.
  • Exercise discretion and uphold confidentiality when handling sensitive IT matters, including but not limited to data security, HIPAA compliance, and other privacy regulations, ensuring that all confidential information is protected in accordance with company policies and legal requirements.
  • Perform additional duties as assigned by the Director of Information Systems.

Qualifications

  • Associate’s degree (or higher) in Business Administration, Information Technology, or related field preferred; or equivalent combination of education and relevant professional experience.
  • Previous administrative or support experience, ideally in an IT or technology-focused environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other productivity tools.
  • Strong written and verbal communication skills, with the ability to interact effectively with internal teams, external partners, and vendors.
  • Strong organizational skills with experience managing schedules, coordinating meetings, and maintaining documentation.
  • Attention to detail when organizing files, records, and documentation.
  • Capability to assist in tracking project deadlines, organizing resources, and supporting IT project planning and implementation.
  • Strong interpersonal skills with a professional demeanor when handling requests from stakeholders.
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  • Discretion in handling sensitive and confidential information, adhering to confidentiality policies.
  • Familiarity with basic IT terminology, hardware, software, and ticketing systems, with adaptability to new technologies and processes and an eagerness to learn and take on new responsibilities as technology evolves.
  • Able to work independently with minimal supervision, as well as part of a team
