💰 Pay Range: $18.00 - $20.00/hr

The pay range for this position is $18.50- $20.00 per hour for employees hired in the Central Valley, CA. The pay range provided in this job posting represents the typical range or starting rate of candidates hired within the Central Valley region. Candidates hired in Southern California or Bay Area locations may have higher starting salaries due to cost of living and market data differences. Under the direction of the Core Program Director, you will work with a team of managers, supervisors, clinicians, and support staff who work with passion and purpose to create a thriving work environment. 📝️ Position Summary

The Compliance Specialist/Administrative Assistant is responsible for improving overall quality and completeness of clinical records. Providing concurrent and retrospective clinical record reviews applying utilization, quality, and risk management services. Providing on-going support to staff with compliance expectations associated with documentation and billing. Providing general administrative support to the Core Program Director and overall office. Major responsibilities also include managing incoming calls, maintenance of database and report generation, coordinating personnel paperwork, maintaining and reconciling district cash/donation accounts and records, file preparation, review and maintenance, oversight of routine office operations and general information distribution within the office. Coordinating with the Administrative Assistant – Level II and/or Core Division Administrative Assistant(s) office regarding administrative functions.

 

🔍 Key Responsibilities

💰 Financial & Administrative Support

  • Maintain petty cash and cash/in-kind donation records in accordance with agency policies and procedures.
  • Code and submit district reimbursements and vendor invoices accurately and on time.
  • Inventory and purchase office supplies to support smooth, efficient office operations.
  • Maintain accurate administrative and financial records.

📋 Data & Records Management

  • Maintain agency and county databases with accurate and timely information.
  • Generate daily, weekly, monthly, and quarterly database reports.
  • Review data for completeness, accuracy, and timely entry.
  • Customize agency and district forms and documents as needed.
  • Maintain organized computer forms and document directories.

👥 Personnel & Employee Support

  • Assist with personnel paperwork, including pre-employment, new hire, and separation packets.
  • Monitor missing or expired personnel documentation and forward items to Human Resources.
  • Assist employees in locating resources needed to obtain required documentation, such as First Aid certifications, DMV printouts, and health screenings.

📬 Office & Communication Support

  • Sort, date stamp, and distribute incoming mail and process outgoing mail.
  • Prepare meeting minutes, correspondence, and other documents in a timely manner.
  • Provide verbal and written information to families and clients as directed.
  • Provide administrative support to program leadership and staff.

📊 Program Compliance & Quality Assurance

  • Coordinate monthly chart audits with the Program Manager/Head of Service (HOS).
  • Review client charts for compliance, accountability, and documentation standards.
  • Monitor programs and services to ensure objectives are being achieved and improvements are sustained.
  • Participate in monthly Peer Review and Compliance meetings.
  • Stay current on utilization management responsibilities, regulations, and payer requirements, including EPSDT and insurance standards.
  • Assist the Program Manager/HOS with tracking documentation, monitoring documentation and billing practices, and maintaining client privacy and dignity.

📈 Outcomes & Continuous Improvement

  • Review monthly satisfaction surveys and other outcome data.
  • Share survey results and staff/client feedback with the Program Manager/HOS.
  • Assist with identifying opportunities for improvement and developing systems to address them.
  • Support ongoing monitoring to ensure program changes and improvements are effective.

  • Follow all HIPAA requirements and protect the confidentiality of client information.
  • Demonstrate sensitivity, respect, and responsiveness to cultural differences.
  • Maintain client privacy and dignity in all interactions.
  • Perform other duties necessary to support program requirements.

💻 Technology Skills

  • Proficiency in Microsoft Excel, Microsoft Word, or similar word-processing and spreadsheet software.

✅ Qualifications

  • Proficiency in Microsoft Word® or similar current word processing software
  • Ability to identify trends or problem areas.
  • Experience working in a Windows® based environment, including communications software using remote and file transfer protocols.
  • Flexibility to manage the assigned workload in order to meet task deadlines
  • Ability to prioritize multiple tasks
  • Experience and knowledge operating and maintaining standard office equipment such as a copier and printer
  • Ability to analyze and interpret data, and to effectively communicate findings.
