📝 Position Summary

The Administrative Assistant II provides general administrative and operational support to assigned programs. Major responsibilities include front office support, database maintenance, fiscal tracking, records management, and ensuring compliance with agency, program, and licensing requirements.

This role plays a critical part in maintaining efficient office operations and supporting high-quality service delivery.

 

🔍 Key Responsibilities

Office & Front Desk Operations

  • Provide professional reception services and operate a multi-line phone system.

  • Manage incoming and outgoing mail and maintain a welcoming office environment.

  • Schedule and maintain conference rooms and meeting spaces.

  • Inventory, order, clean, and stock office supplies.

Administrative & Fiscal Support

  • Manage petty cash accounts, fund requests, and reconciliations.

  • Code, submit, and track reimbursements and vendor invoices.

  • Maintain program donation records and fiscal documentation.

  • Complete personal and program administrative paperwork accurately and on time.

Records, Data & Compliance

  • Maintain multiple databases and generate accurate, timely reports.

  • Perform data entry, file management, scanning, copying, and annual archiving.

  • Conduct periodic file audits to ensure compliance with program, funder, and licensing standards.

  • Maintain strict confidentiality in accordance with HIPAA and other applicable laws.

Human Resources & Program Support

  • Complete administrative tasks related to onboarding and offboarding.

  • Assist with ongoing HR-related administrative processes.

  • Prepare materials for monthly safety meetings.

  • Serve as local technical support for agency equipment and office systems.

Professional Standards

  • Prepare clear, concise correspondence, reports, and meeting minutes.

  • Demonstrate cultural sensitivity and maintain appropriate professional boundaries.

  • Model Aspiranet’s values and represent the agency professionally at all times.

  • Perform additional duties as assigned by the Core Program Director.

✅ Qualifications

Minimum Requirements:

  • Minimum of two (2) years of experience in clerical or business office operations.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).

  • Experience working in a Windows-based environment, including communication and file transfer systems.

  • Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.

  • Competence in operating standard office equipment (copier, printer, scanner, fax, postage meter).

  • Meets all state-required conditions of employment as set forth by Community Care Licensing, including DOJ fingerprint clearance, Child Abuse Index clearance, TB/Health Physical, and valid California Driver’s License with clean driving record (if required for the role).
