📝️ Position Summary

The Administrative Assistant provides essential support to both the WAI Department and the COO North Office. This role is pivotal in ensuring safety and compliance, coordinating projects, tracking data, and supporting agency operations. The position also serves as a backup to the Senior Administrative Assistant when absent, with responsibilities including fiscal processing, scheduling, reception, and coordination with CDAAs on program, fiscal, and HR inquiries.

 

🔍 Key Responsibilities

  • Provide administrative support to the WAI team, including safety and compliance monitoring, training of safety coordinators, and assisting with policy and procedure development.
  • Compile data, track reporting requirements, and coordinate projects across the division.
  • Support Divisional Administrative Assistants by responding to inquiries and managing documentation for Finance, HR, IT, WAI, Fund Development, and Communications.
  • Provide administrative support to the COO North Office, including correspondence, filing, travel coordination, calendaring, reception, vendor relations, and mail processing.
  • Coordinate and organize meetings, events, and trainings; attend as needed and record/distribute minutes.
  • Maintain professional boundaries and demonstrate cultural sensitivity in all interactions.
  • Perform additional duties as assigned by the Core Division Director.

 

Qualifications

  • 3+ years of administrative assistant experience required
  • 2+ years of experience supporting quality assurance or site safety preferred
  • Experience in project coordination and office management
  • Proficient in Microsoft Office Suite, Excel, databases, and office equipment
  • Strong written and verbal communication skills, with excellent customer service
  • Ability to work independently or collaboratively, prioritize tasks, and meet deadlines
  • Flexibility to travel occasionally to agency offices
  • Meets all Community Care Licensing employment conditions (fingerprint/child abuse clearance, TB/health clearance, valid CDL, and clean driving record)

  • On-Site – Richmond, CA
  • Monday – Friday (8:00 AM – 5:00 PM)
