Your Impact

The Contracts Specialist supports the Contracts Manager in all aspects of contracts administration for the organization, which entails compiling cost data for 170 + contracts supporting Aspiranet, Inc.  The Contracts Specialist is responsible for the grant billing/payment process, maintenance of contract records, preparation of reports to contract agencies, development of spreadsheets for analysis, communication with staff from various contract agencies, and other administrative duties.

Your Skills and Duties

Grants Billing Processing

  1. Maintain spreadsheets pertaining to grant billing.
  2. Submits grants billing/invoices, including supporting documents such as receipts, statements, invoices, purchase order and others.
  3. Codes grant payment checks to the appropriate customer and invoice number,
  4. Enters and updates grant tracking spreadsheets,
  5. Maintain an organized file maintenance system for all Grants.  Copies of contracts, billing statements, accruals, adjustments, payment checks, financial statements and correspondence among other things are kept in file for quick reference
  6. Follow up payment from the counties/grantors

Data Entry & Report Writing

  1. Creates monthly and annual cost and other financial reports,
  2. Prepares invoices for all contracts,
  3. Prepares month end journal entries for all billing and claims,
  4. Oversees the contribution worksheets,

Customer Service

  1. Works with regional offices regarding grant budgets to actual expenses,
  2. Provides field offices with billing and other financial statements and reports,
  3. Responds to telephone and e-mail inquiries concerning grants,
  4. Prepares for site visits.

Document Management

  1. Tracks agreements and grant schedules,
  2. Updates spreadsheets, billing, and accounting forms.

Administrative Duties

  1. Orders general office supplies,
  2. Sends faxes, makes copies and other general clerical work.

Other Duties:

  1. Assists with special projects for the Accounting Department;
  2. Performs other duties as assigned

Education & Work Experience

Minimum:

  • AA degree in business with at last one full year of accounting courses. 
  • Alternative to education would be a minimum of 5 years experience in bookkeeping or as an accounting clerk
  • Knowledge of personnel-related functions and general accounting principles, A/P and A/R invoicing methods and aging processes.
  • Proficiency with MS Office Suite: Word, Excel, and Power Point
  • Must have advanced skills in Excel, including  the ability to create pivot tables

  • Organizational skills and attention to detail
  • Ability to multitask and work well under pressure
  • Ability to react to change productively and handle other essential tasks as assigned
  • Ability to deal with government accounting representative in resolving collection issues.
  • Meets all state required conditions of employment as set forth by Community Care Licensing for a Licensed Community Care facility; i.e. Fingerprint and Child Abuse Index clearance, TB/Health Physical, valid CDL, and clean driving record

Preferred:

  • Experience with non-profit fund accounting preferred.
