Your Impact

The Administrative Assistant III (AAIII) provides direct support to CPDs and supports admins needs of the local programs. AA III serves in a lead role supporting/overseeing Administrative Assistants I and II. Major responsibilities include oversight of administrative functions, coordination of projects and provision of administrative support to programs within the local office and liaison with divisional and headquarters departments.

Your Skills and Duties

  • Provide all duties performed by AA I, II as assigned or as needed.
  • Provide guidance, support, and training to the Administrative Assistants (I and II).
  • Compose and maintain business correspondence
  • Maintain business files
  • Coordinate travel arrangements
  • Coordinate and complete administrative projects.
  • Compile district and program data utilizing multiple databases
  • Organize meetings and trainings
  • Obtain multiple quotes for office purchases.
  • Liaison with vendors, programs and Headquarter staff.

Education & Work Experience 

  • Three years’ experience in clerical and business office operations.
  • AA degree or equivalent experience and education.
  • Experience in projects coordination and time management.
  • Proficient in Microsoft Office Suite, database management, the Internet, including communications software using remote and file transfer protocols. Intermediate-to-advanced skills in Outlook, Word, Excel, preferred.
  • Proficient in operating and maintaining standard office equipment such as a multi-functional machine (copier/fax/printer/scanner), postage meter, etc.
  • Meets all state required conditions of employment as set forth by Community Care Licensing for a Licensed Community Care facility; i.e. Department of Justice (DOJ) Fingerprint and Child Abuse Index clearance, TB/Health Physical, valid California Driver’s License and clean driving record (Motor Vehicle Report) if required to drive for this position.
