Your Impact

The Core Division Administrative Assistant supports the Core Division Director in all aspects of providing quality services, administrative services, and general and program-specific support. Specific responsibilities include office administration and supervision of Administrative Assistants (Levels I-III) for their specific Division including program fiscal requests, files, payroll, report writing and submission, coordination of projects and timelines throughout the region, and ensuring that all districts in the region are in compliance with Aspiranet’s policies and protocols. 

Your Skills and Duties

  • Supervise and provide guidance, support, and training to the Administrative Assistants in the Division offices.  
  • Provide administrative support services for the Core Division Director:  
  • Maintain business correspondence  
  • Maintain filing system  
  • Coordinate travel arrangements  
  • Process mail (for Division and Core Division Director)  
  • Fax and copy documents  
  • Compose and distribute memos as directed by the Core Division Director  
  • Provide reception and screening of calls  
  • Maintain calendar for Core Division Director  
  • Coordinate events planning  
  • Complete administrative projects, and type documents as directed  
  • Project Management – organizing Core Division Meetings/events, attending meetings/conference calls and taking and distributing meeting minutes, working with the Senior Administrative Assistants/HQ Department staff to create program fiscal standards (per contract and agency audit requirements), etc.  
  • Compile program data for the Core Division Director  
  • Direct information, inquiries, etc. to the appropriate district office  
  • Review the program’s secretarial procedures, files, etc. for the Core Division Director  
  • Prepare reports, quote estimates for materials, equipment, etc. for the Core Division.  
  • Serve as a member of the Senior Administrative Assistant Leadership Team.  
  • Liaison with vendors, programs and headquarters.  
  • Support and model Aspiranet’s values, represent the Agency in a professional manner and abide by the Agency’s Professional Code of Ethics.  
  • Maintain appropriate professional boundaries with staff, foster parents, clients and community resources.  
  • Demonstrate sensitivity and responsiveness to cultural differences  
  • Perform additional duties as assigned by the Core Division Director.  

Education and Work Experience 

  • Two years minimum of office experience including proficiency in office management and project implementation, trained in clerical and business office procedures, excellent interpersonal and customer service skills and excellent written and verbal communication skills.  
  • Supervisory experience or well exhibited supervisory capacity.  
  • Proficient in Microsoft Office, database management and the Internet, including communications software using remote and file transfer protocols as well as operating and maintaining standard office equipment.  
  • Flexibility to manage the assigned workload in order to meet task deadlines either working individually or as a team player.  
  • Organized self-motivated, ability to multi-task and prioritize multiple projects.  
  • The desire to learn and understand the needs of clients and Agency staff.
  • Ability to travel to district offices when necessary.  

Licenses and Certifications

  • Meets all state required conditions of employment as set forth by Community Care Licensing for a Licensed Community Care facility; i.e. Fingerprint and Child Abuse Index clearance, TB/Health Physical, valid CDL and clean driving record.
  • Meets all compliance requirements of federal, state, and country regulations by periodic sanction checks.
