The IHBS Administrative Assistant is part of a strengths-based, highly skilled and passionate team of Facilitators, Clinicians, Support Counselors, Parent Partners, and Managers working together to ensure the health and safety of youth by providing services centered on improving behavior and maintaining placement in their home. The team uses creative problem solving skills to support these high-risk youth and families.  The Administrative Assistant provides regular support and training to both field based staff and program management.

Your Impact

As an Administrative Assistant you will find yourself behind the scenes of intensive home based service delivery.  You will have daily opportunities to support professionals who work with children and families as they repair and strengthen their relationships. The assistance you provide will indirectly help families to overcome future obstacles and maintain hope forward.

In your role, you will ensure that our programs maintain fidelity; that programs meet or exceed our contractual outcomes and that Aspiranet intensive home based services maintains its accreditation with The Joint Commission.

Your Skills and Duties

  • Effectively manage a multi-line phone system, and process incoming calls to differentiate between emergency and non-emergency calls/situations and respond accordingly per office and agency policies and procedure.
  • Generate accurate and timely database reports on a daily, weekly, monthly and quarterly basis.
  • Maintain and reconcile petty cash records and vendor bills according to agency policies and procedures.
  • File preparation, review and maintenance.
  • Assist with completion of personnel paperwork including pre-employment packets, separation packets and new hire packets.
  • Ensure the Joint Commission Accreditation file standards are maintained.
  • Perform additional duties as assigned.

 

Education & Work Experience

  • Proficiency in Microsoft Word or similar current word processing software.
  • A minimum of two years’ experience in clerical and business office operations.
  • Proficient in Microsoft Office Suite; Outlook, Word, Excel.
  • Experience working in a Windows based environment including communications software using remote and file transfer protocols.
  • Excellent verbal and written communications skills.
  • Flexibility to manage the assigned workload in order to meet task deadlines.
  • Ability to prioritize multiple tasks.
  • Experience and knowledge operating and maintaining standard office equipment such as a copier, fax and postage meter.
  • Maintain appropriate professional appearance and demeanor with staff, partners, clients and community resources.

 

Licenses & Certifications

  • Meets all state required conditions of employment as set forth by Community Care Licensing for a Licensed Community Care facility; i.e. Fingerprint and Child Abuse Index clearance, TB/Health Physical, valid California Driver’s License and clean driving record (Motor Vehicle Report).
