Your Impact

The Administrative Assistant – Medication Monitoring provides general administrative support to the Program Coordinator and is additionally responsible for assisting medical providers in the behavioral health outpatient offices.  Major responsibilities include managing incoming calls, maintenance of database and report generation, coordinating personnel paperwork, maintaining and reconciling district cash/donation accounts and records, file preparation, review and maintenance, oversight of routine office operations and general information distribution within the office. Medication Monitoring responsibilities include taking vitals at the time of appointments with medical providers, tracking medication prescriptions, calling in refills upon orders from medical providers, and supporting the medical providers’ adherence with charting requirements.

Your Skills and Duties

  • Receive and process in a timely manner, clients, visitors, and client referrals for medical provider services from the agency’s outpatient and intensive, specialty health programs.
  • Effectively operate a multi-line phone system, and process incoming calls to differentiate between emergency and non-emergency phone calls and situations and respond accordingly per office and Agency policies and procedures.
  • Manage schedules for medical providers and clinical staff, and ensure productivity standards are met.
  • Track service utilization to ensure medical services are authorized at the time they are delivered.
  • Take and accurately record client information including weight, temperature, and blood pressure.
  • Accurately track medication prescriptions and call in prescription refills at the direction of medical providers.
  • Maintain current and accurate information and files on clients according to agency policy and procedures, and contract requirements.
  • Compile and submit supporting documentation for service claims, billing, and outcomes.
  • Respond to the administrative needs of staff and clients in a timely fashion as directed by the Program Coordinator.
  • Maintain Agency petty cash records according to Agency policy and procedures.
  • Sort, date stamp and deliver all incoming mail and process out-going mail according to office procedures.
  • Produce meeting minutes and daily correspondence, as requested, in a timely manner.
  • Provide verbal and written information to families and clients, as directed.
  • Assist with the completion of Human Resources paperwork including pre-employment packets, new hire packets, orientation paperwork, separation packets.
  • Assist with communicating and collecting Human Resources’ required employee documentation.
  • Generate accurate and timely reports on a daily, weekly, monthly, quarterly, and annual basis, as needed.
  • Implement and maintain office organizational standards.
  • Maintain client and case confidentiality per licensing, state, federal and Agency standards.
  • Demonstrate sensitivity and responsiveness to cultural differences.
  • Maintain positive working relationships and professional boundary areas with staff, partners, clients and community resources.
  • Represent Agency in a professional manner.
  • Perform additional duties as assigned by the Program Coordinator.
  • Must be bilingual (Spanish) 

Education & Work Experience

  • MA-Medical Assistant, LVN- licensed Vocational Nurse, or RN- Registered Nurse certificate/credential
  • One year experience in a back office setting, behavioral health field preferred.
  • Proficiency in Microsoft Office and similar/current software.
  • Flexibility to manage the assigned workload in order to meet task deadlines.
  • Ability to prioritize multiple tasks.
  • Experience and knowledge operating and maintaining standard office equipment such as a copier, fax, postage meter, printer and typewriter.
  • Meets all state required conditions of employment as set forth by Community Care Licensing for a Licensed Community Care facility; i.e. Fingerprint and child Abuse Index clearance, TB/Health Physical, valid CDL and clean driving record.
  • Meets all compliance requirements of federal, state, and country regulations by periodic sanction checks.
